What Records Must Pilot Schools Keep?

Part 141 pilot schools must maintain detailed training records for every student enrolled in their approved courses. These records must include the enrollment date, a chronological log of attendance and training activities (including subjects covered, flight operations, and test results), and the date the student graduated, quit, or transferred. For internet-based courses, schools must also keep the graduation certificate code.

These school records are separate from—and cannot be replaced by—the student's personal logbook. When a student completes, leaves, or transfers, the chief instructor must certify the record accordingly.

Schools must retain these records for at least one year after the student graduates, terminates, or transfers. Students can request copies of their training records at any time.

This regulation ensures schools maintain accountability for their training programs and provides students with documented proof of their training history, which can be important for future training or employment.
