Proper cross-country flight planning separates confident, safe pilots from those who stumble through airspace violations, fuel emergencies, and unnecessary diversions. Whether you're planning your first solo cross-country or your hundredth business trip, a systematic approach ensures nothing gets overlooked.

Selecting Your Route and Altitude

Begin by drawing a direct line between departure and destination on a sectional chart. This is your starting point, not necessarily your final route. Examine what lies beneath: restricted areas, MOAs, Class B or C airspace, mountainous terrain, and areas with limited emergency landing options.

Choose checkpoints every 10–15 nautical miles—prominent features like towns, lakes, highways, or distinctive terrain. Avoid selecting checkpoints that look identical to surrounding features. A single water tower in flat farmland is less useful than a town with a unique road intersection.

Altitude selection involves balancing regulatory requirements, terrain clearance, wind optimization, and engine performance. VFR cruising altitudes follow the "east is odd, west is even" rule (plus 500 feet), but only above 3,000 feet AGL. Consider oxygen requirements above 12,500 feet MSL and the practical ceiling of your aircraft. Check winds aloft forecasts—a 2,000-foot altitude change might save 30 minutes on a long flight.

Weather Analysis and Go/No-Go Decision

Flight planning without thorough weather analysis is just drawing lines on a map. Start your weather briefing 12–24 hours before departure, then update it within 2–3 hours of your flight.

Review the big picture first: surface analysis charts, radar, and satellite imagery show weather systems and their movement. Then focus on your route: METARs, TAFs, AIRMETs, SIGMETs, and winds aloft. Pay special attention to conditions at your estimated time of arrival—morning fog might burn off, but afternoon thunderstorms build.

Common mistakes include "get-there-itis" and confirmation bias—seeking weather information that supports flying rather than objectively evaluating conditions. If marginal VFR is forecast, ask yourself: "Would I be comfortable with my family aboard?" Personal minimums should exceed regulatory minimums, especially for low-time pilots.

Weight and Balance and Performance Calculations

Calculate weight and balance before heading to the airport, not while your passengers wait in the FBO. Use your POH's loading graph or table, accounting for all occupants, baggage, and actual fuel load. Remember that full fuel and full seats often exceed maximum gross weight in four-seat aircraft.

Performance calculations determine if your planned flight is even possible. Calculate takeoff distance required versus available runway length, accounting for density altitude, runway slope, and surface conditions. A 2,000-foot runway works fine at sea level in winter but becomes marginal at a mountain airport on a hot afternoon.

Compute fuel requirements for the entire flight: taxi, takeoff, climb, cruise, descent, plus reserve. FAR 91.151 requires 30-minute day VFR reserve (45 minutes at night), but smart pilots plan for 60–90 minutes. Calculate fuel burn at your planned altitude and power setting, then add 10% for headwinds and deviations.

Navigation Log and Flight Plan Filing

A navigation log organizes your planning into a usable format. For each leg, record: checkpoint name, course, distance, groundspeed, estimated time en route, and fuel burn. Many pilots use electronic flight planning tools, but understanding the manual process builds better aeronautical decision-making skills.

Total your columns to verify the numbers make sense. Does your total distance match the sectional measurement? Does total fuel required plus reserve fit in your tanks?

File a VFR flight plan for cross-countries beyond the local area. It's free insurance—if you don't arrive, someone will look for you. File through 1800wxbrief.com, ForeFlight, or by phone. Include your route, altitude, fuel on board, and number of people aboard. Most importantly, remember to close your flight plan after landing.

Final Preflight Review

Before engine start, brief your route one more time. Review frequencies you'll need: ATIS, ground, tower, departure, center, FSS, and destination airport. Program your GPS but don't become dependent on it—know where you are on the sectional.

Check NOTAMs one final time for runway closures, navaid outages, or TFRs. Presidential TFRs can appear with little notice and create 30-mile no-fly zones.
