This exchange between pilot and controller establishes the foundation for your entire flight, and errors here can lead to confusion, delays, or worse—busting airspace or altitude restrictions before you even leave the ground.
Understanding the CRAFT Format
IFR clearances follow a predictable structure that pilots remember using the acronym CRAFT: Clearance Limit, Route, Altitude, Frequency, and Transponder. Your clearance limit is typically your destination airport. The route includes your departure procedure, en route airways or fixes, and arrival procedure. Altitude information includes both your initial altitude and what to expect after departure. The frequency is where you'll contact departure control, and the transponder code (squawk) identifies your aircraft to ATC radar.
Understanding this format allows you to prepare your scratch pad or clearance form before calling for your clearance. Write these five categories down with space between them, and you'll be ready to copy efficiently when clearance delivery starts talking.
The Critical Readback Requirement
FAR 91.123 requires pilots to read back all "hold short" instructions, but professional practice and ATC expectations extend far beyond this minimum. You must read back your complete route clearance, altitude assignments, altitude restrictions, heading assignments, runway assignments, and transponder code. Controllers are listening for these specific items because they're the elements most likely to cause problems if misunderstood.
The frequency is the one element you don't need to read back, though many pilots do anyway. What matters most is demonstrating that you correctly copied the clearance that will guide your flight.
Common Mistakes and How to Avoid Them
The most frequent error is trying to read back the clearance from memory immediately after hearing it. Unless you have an exceptional memory and the clearance is simple, write it down first. Controllers speak quickly, and clearances often include multiple fixes, crossing restrictions, and amendments you didn't expect.
Another common mistake is confusing similar-sounding fixes or waypoints. If you're cleared via "JIFFY" but you hear "FIFTY," you could be setting up for a significant route deviation. When in doubt, ask for clarification or phonetic spelling. Controllers would much rather repeat a fix name than vector you back on course later.
Pilots also frequently miss altitude restrictions embedded in departure procedures. When cleared "via the RNAV departure," you're expected to comply with all published altitude and speed restrictions unless ATC specifically deletes them. Don't assume your assigned altitude overrides these restrictions—it doesn't.
Technique for Complex Clearances
When you anticipate a complex clearance—perhaps departing a busy Class B airport or filing an unusual route—consider these techniques. First, call for your clearance with pen in hand and your clearance form ready. Second, don't hesitate to ask the controller to "say again" or "slow down" if needed. Third, read back in the same order you received the information, which helps controllers verify accuracy quickly.
For particularly complex routes, you can read back in segments: "Cleared to [destination] via [departure procedure], is that correct so far?" This technique, while taking slightly more time, ensures accuracy and is far better than launching with an incorrect clearance.
Consider also loading your expected clearance into your GPS or flight management system before calling clearance delivery. When you receive the actual clearance, you can quickly verify it matches or identify what needs changing. This preparation reduces workload and minimizes errors.
When Things Don't Match
Your filed flight plan and your actual clearance often differ. ATC may assign a different departure procedure, reroute you around traffic or weather, or change your altitude. This is normal. Your job is to copy what you're actually cleared for, not what you hoped to receive.
If you receive a clearance you cannot accept—perhaps due to aircraft performance limitations, lack of required navigation equipment, or weather considerations—speak up immediately. A simple "unable" followed by your reason and an alternative gives controllers what they need to issue an amended clearance.
The clearance readback isn't just a regulatory formality—it's your last line of defense against miscommunication before entering the IFR system. Take the time to copy it accurately, read it back completely, and ensure you understand every element before taxiing.
